Every trade on one plan. One agent keeping it there.

The general contractor and every subcontractor keep their own Taskivities. The agent builds the schedule, sends each trade its part, and follows up every morning until handover.

Keystone Build (the contractor) and Volt Electric (the electricians) on a clinic fit-out, run by one agent.

Who's on the job

Each company runs its own Taskivities with its own people. The agent works across all of them.

K

Keystone Build

General contractor

Omar (project manager), Lucy (site lead), Ben (procurement)

Owns the job. Sees the whole plan, every trade's dates and what's holding anyone up, in its own Taskivities.

V

Volt Electric

Electrical subcontractor

Kai, Nora and Eli

Keeps its own Taskivities and its own crew. Gets only its part of the job, with dates, and ticks it off from site.

Added as they come on

Connect their own Taskivities, or add their people to yours. The agent plans across all of them the same way.

What the agent takes off your plate

The coordination nobody has time for: done every day, written down every time.

01

Builds the schedule

From a few lines about the job and the handover date: tasks, owners, working days and what has to finish before what.

02

Gives each trade its part

Every task lands in the right company's Taskivities, assigned to the right person, with its date and what it waits on.

03

Does the morning round

Reads every open task on every instance at 8:30 and spots what's late, what's blocked and what's about to be.

04

Chases what's blocking

Drawings, approvals, deliveries: it asks the person who owns the blocker, marks it urgent and tells the trade that's waiting.

05

Re-plans the chain

When something slips, it moves everything that depends on it and tells everyone whose date changed. Nobody calls round.

06

Covers for sick days

Someone's out? Their task goes to someone on the same job, with a note saying why, and the plan carries on.

Tell it what the job is

Write it the way you'd brief a project manager. The agent turns it into a plan and sends it out.

Plan the Harbor St clinic fit-out, handover Nov 30. Keystone does the survey, permit drawings, fixtures, drywall and final inspection. Volt does the wiring plan, the panel and the level 2 conduit. Nothing electrical before the drawings are stamped.

Done. The plan has 8 tasks over 11 working days, finishing on Nov 30. I've sent Keystone 5 tasks and Volt 3, and I'll check in every morning at 8:30.

  • Scheduled 8 tasks back from Nov 30, working days only
  • Made the panel wait on the stamped drawings and the wiring plan
  • Assigned Omar, Ben and Lucy at Keystone; Kai, Nora and Eli at Volt
  • Set a morning round at 8:30 and a Friday digest

What your teams see

Nothing new to learn. The site lead sees the week on the board; the electrician sees today on their phone, with the agent's note on top.

A week with the agent

  1. Mon · 8:30

    Morning round

Reads every open task on both instances. The site survey finished early, so it tells Ben the fixtures can be ordered a day sooner.

  2. Tue · 10:05

    Spots a blocker

Nora comments that the panel can't go in without stamped drawings. The agent marks Omar's permit task urgent and asks Omar for a date.

  3. Wed · 14:20

    Re-plans the chain

The drawings land a day late. The panel and drywall each move a day, and Nora and Lucy get their new dates without a single phone call.

  4. Thu · 7:50

    Covers a sick day

Eli is out. The conduit run goes to Kai, who's on the same job, with a note saying why.

  5. Fri · 16:00

    Posts the digest

What got done, what moved and what's next, with each trade's hours from the tasks, on the project for everyone to see.

It gets smarter every job

Taskivities keeps a history nobody can rewrite: when each task was planned, when it was done, who moved it and why. After every job the agent compares the plan with what happened and writes what it learned into a playbook on the project. The next schedule starts from there.

Tasks finished on their planned day

# What I learned

  • -Volt's panel installs take 3½ days, not 3. Plan 4.
  • -Stamped drawings come back 2 days after submission. Ask on day 1.
  • -Leave a day between panel sign-off and drywall for the inspection.
  • -Fixture orders need 5 working days' lead time.
  • -Keep inspections off Fridays: they slip twice as often.

# Next plan starts from these.

Questions

Does every subcontractor need Taskivities?

No. A trade can run its own Taskivities (it's free and open source), or you can add their people to yours. The agent works across both.

What can the agent see?

Only what it's given. It signs in to each company's Taskivities as its own account, sees just the projects it's on there, and every change it makes is in the task history, marked as made by the agent.

What do people on the team have to do?

Nothing new. They get their tasks on their phone, tick them off and comment when something's stuck. The agent does the chasing and the re-planning.

What if the agent gets something wrong?

Anyone on the project can change it back. Nothing is ever deleted: dates move back, handovers reverse, and the history shows what happened and why.

Put your next job on one plan.

Run Taskivities for your company, bring your trades in, and let the agent keep everyone moving.
